The Youth Development Department Secretary plays a pivotal role in supporting the efficient functioning of the Youth Development Department within our BOCES organization. This role involves a blend of clerical duties, communication management, and organizational support to ensure the smooth operation of youth-focused programs and initiatives.Responsibilities:Clerical Support: Perform general office tasks such as data entry, filing, photocopying, and scheduling appointments. Manage departmental correspondence, including emails, phone calls, and written communication. Maintain accurate records and databases related to youth programs, participants, and resources. Assist in the preparation of reports, presentations, and documents as needed.Communication Management: Serve as a primary point of contact for inquiries related to youth development programs and services. Coordinate communications between department staff, external partners, schools, and community organizations. Draft and distribute newsletters, announcements, and promotional materials to raise awareness of youth initiatives. Ensure timely dissemination of information and follow-up on inquiries or requests.Event and Program Support: Assist in the planning, coordination, and execution of youth development events, workshops, and activities. Coordinate logistics such as venue bookings, participant registration, materials preparation, and catering arrangements. Provide on-site support during events to ensure a seamless experience for participants and guests.Resource Management: Order and maintain office supplies, equipment, and materials necessary for the department's daily operations. Monitor departmental budgets and expenses, and assist in financial record-keeping and reporting (including grant funded programs). Liaise with vendors, service providers, and contractors to facilitate procurement and maintenance activities.Collaboration and Team Support: Collaborate with department staff to support the implementation of youth development initiatives and projects. Attend team meetings, take minutes, and assist in action item follow-ups and task assignments.
