The Administrative Assistant to the Superintendent of Schools is a key member of the districtproviding the first interaction with the school district for many individuals, partners and vendorsand a primary contact for all staff in the district. This position will assist and support theSuperintendent of Schools, as a confidential employee, in the performance of theirresponsibilities by maintaining a thorough and efficient office operation, performing specializedand demanding tasks, possessing a mastery of office skills, demonstrating the ability to assumeresponsibility without direct supervision, exercising initiative and sound judgement, and makingdecisions within the scope of assigned authority.Qualifications:High School graduate, some college preferred and 3 – 5 years administrative experience.Must be computer literate; proficient in Microsoft Office Suite (Word, PowerPoint,Excel, PowerPoint). Experience with BoardDocs helpful.Excellent verbal and written communication skills.Ability to maintain essential/confidential records and filesRequires NYS Education Department fingerprint clearance and background check.RESPONSIBILITIESAdministrative:Keeps the Superintendent of Schools informed and advises, assists and workscooperatively with all other administrators, faculty and staff, outside agencies and otherschool districts regarding district-related matters.Relieve the Superintendent of Schools of details which do not require their personalattention by receiving calls, ascertaining their business, answering their questions and/orreferring them to the proper person. Responsible for confidential correspondence for the Superintendent of Schools and othercorrespondence independently as delegated or from brief direction.Provide clerical support including scheduling meetings, preparation, writing, or draftingof Superintendent’s correspondence and items of recognition for students and staff.Reads and sorts incoming mail and answers it independently or routes it with backgroundmaterial as necessary.Maintains a regular filing system, as well as a set of locked confidential files.Arrange for conference participation for the Superintendent of Schools as needed.1Coordinate all aspects of Superintendent Hearings including timely notification toparents/guardians and JCCA, scheduling and coordination of hearing with all partiesincluding a district hearing officer if necessary and communication of final hearingrecommendations.Responsible for the setup and maintenance of all vendor records in the N-VisionDatabase.Create and manage purchase orders and requisitions, ensuring alignment with districtpolicies on an on-needed basis.Responsible for maintenance and updates of information for the district’s website.Submits all legal notices for publication and assists with releases for the media.Orders and maintains supplies as needed.Assists in the preparation of the annual district calendar and Board of Education meetingcalendar.Assumes responsibility for maintaining postal and copier machines in the DistrictOffice.Personnel:Coordinates hiring of new personnel ensuring compliance with hiring practices andcreates personnel folder.Completes NYSED fingerprint clearance for all new hires, consultants and vendors ifapplicable.Coordinates receipt of the Justice Center Staff Exclusion List (SEL) clearance.Prepares/completes board recommendations for new personnel and personnel changesand informs appropriate staff with payroll deductions for health insurance, WestchesterCounty applications, State Wide Central Data Base applications and fingerprintclearance.Provides benefit orientation for new staff members.Processes all personnel paperwork, i.e. health insurance, life insurance, civil service, andfingerprint clearance.Responsible for entering all new employee information with the NYS OCFS State-WideCentral Register Database Check and monitoring results.Enters and maintains all personnel information (human resources & payroll) into the N-Vision Database.Enters and maintains all contact information in School Messenger for all staff, daystudents and transportation contactsEnsure all new employees are entered in the Global Compliance Network System(GCN) and ensure that mandated and district required training is completed by all newemployees and annually thereafter.District’s health insurance benefit representative.District’s life insurance benefit representative.District contact for all retirees.Assists with the review of billing for the State Wide Schools Cooperative Health Plan(SWSCHP), J.J. Stanis Life and the Teachers’ Welfare Fund.Authorizing authority for district for submission of Civil Service paperwork.1Canvasses and processes Civil Service list for the hiring of new Civil Service personnel.Takes initiative to trouble shoot employee personnel issues and work to resolve issues atthe lowest management level.Advises the Superintendent on employee relations.Note: Job responsibilities of this position are always subject to change at the discretion of theSuperintendent.
