LOCATION: Mamaroneck High School HOURS: Monday – Friday, 35 hours per week POSITION SUMMARY The Administrative Coordinator for Curriculum & Operations provides comprehensive organizational and operational support to the Office of Curriculum and Instruction. This role is responsible for coordinating purchasing processes, managing contracts, supporting compliance requirements, and maintaining internal systems that ensure the efficient implementation of instructional programs and services. RESPONSIBILITIES: Purchasing & Budget Management Initiate, process, and track purchase orders (POs), including blanket POs and reimbursements Monitor curriculum and textbook budgets and maintain accurate expenditure records Coordinate with the Business Office to ensure proper coding, approvals, and compliance with district procedures Verify receipt of goods and services and resolve discrepancies with vendors Maintain documentation related to purchasing and budget tracking Contract Coordination Prepare and submit contract agreements for administrative and Board of Education approval Ensure all required documentation is complete and properly routed Generate associated purchase orders upon contract approval Track contract timelines, deliverables, and payment schedules Process invoices and ensure timely payment, close out contracts and POs upon completion Program & Vendor Coordination Serve as liaison between the district and external vendors (e.g., BOCES, consultants, service providers) Coordinate logistics, scheduling, and documentation for program implementation Support communication between departments to ensure alignment with program goals and funding sources Title Funding & Nonpublic School Services Manage purchasing processes associated with Title-funded programs Obtain vendor quotes and ensure compliance with funding requirements Coordinate receipt, verification, and distribution of materials to nonpublic schools Maintain records and documentation for auditing and compliance purposes Operational Systems & Record Management Maintain organized tracking systems for purchasing, contracts, budgets, and program participation Manage calendars, schedules, and key deadlines for the department Ensure accurate recordkeeping in accordance with district procedures Maintain district course catalogue in Frontline Professional Growth Enter attendance records and issue CTLE certificates through the Frontline Professional Growth Home Instruction Compliance Support Process Letters of Intent and issue required correspondence Track Individualized Home Instruction Plans (IHIPs) and required submissions Monitor quarterly report deadlines and maintain compliance records Track final assessments and support approval processes Administrative & Team Support Maintain and monitor timesheets and related documentation Provide day-to-day administrative support to curriculum leadership Assist with onboarding and guidance related to purchasing and contract procedures Support summer work submissions and coordination with Human Resources QUALIFICATIONS Prior administrative experience required; school district or public sector experience preferred Experience with purchasing systems, budget tracking, or contract coordination preferred Proficiency in Google Workspace and/or Microsoft Office KNOWLEDGE, SKILLS & ABILITIES Strong organizational skills with attention to detail and accuracy Ability to manage multiple tasks, prioritize effectively, and meet deadlines Effective written and verbal communication skills Ability to work independently while collaborating across departments Knowledge of confidentiality requirements and professional discretion REQUIREMENTS: Must have Civil Service permanent status as Secretary to School Administrator OR be on the Current Civil Service Eligible List for Secretary to School Administrator. There is currently a Civil Service Eligibles List for this title. If the Civil Service Eligible List canvass results in an invalid list, only then will candidates who meet the minimum Civil Service qualifications for the position and who are able to take the exam, pass it and be reachable on the eligible list be considered.
