Reporting directly to the Director Human Resources and the Assistant Superintendent for School Improvement, the Executive Secretary will be responsible for providing administrative and clerical support to various departments and District Office administrators. Responsibilities include but shall not be limited to the following: Human Resources Maintain job postings, internal vacancy notices and hiring activity Assist with the maintenance of employee personnel files, evaluations, job descriptions, and Civil Service records. Prepare confidential correspondence, reports, spreadsheets, and negotiation materials. Coordinate appropriate paperwork and communicate with legal counsel as needed. School Improvement Assist with preschool enrollment, registration, and records management. Support administration of EPK, UPK, and related grant programs. Schedule meetings, prepare agendas, minutes, and materials. Support district professional development planning, scheduling, and communications. Medicaid Administration Maintain parental consents and Medicaid Direct accounts for eligible students. Monitor provider documentation for billing compliance. Submit claims, resolve rejected claims, and assist with annual cost reporting. Coordinate transportation logs and annual family notifications. General Support Manage calendars, schedule meetings, and coordinate conference rooms. Prepare correspondence, reports, spreadsheets, and presentations. Maintain filing systems and office records. Greet visitors, answer phones, and direct inquiries appropriately. Manage district’s homeschooling program Perform other duties as assigned by District Office administrators. Minimum Qualifications (either) (a) Graduation from a regionally accredited or New York State registered two-year college with an Associate’s Degree and three (3) years of full-time paid experience as a confidential secretary or administrative assistant or, (b) Graduation from high school or possession of a high school equivalency diploma and five (5) years
