This is a permanent, non-competitive position that does not require a Civil Service exam.Position DetailsAssignment: Secretary to the MS-HS Counseling DepartmentSchedule: 8 hours per day (includes a 30-minute duty-free lunch)Work Year: 11 monthsHours: 7:30 a.m. – 4:00 p.m.Start Date: April 1, 2026Compensation & BenefitsMinimum Starting Pay:$19.25 per hour for the 2025–26 school yearIncreases to at least $20.25 per hour for the 2026–27 school yearBenefits: Eligible for District benefits or insurance buy-outUnion Status: Member of the Non-Instructional Collective Bargaining Unit, including:Paid vacation daysPaid personal daysPaid sick daysAdditional terms and conditions of employment are outlined in the applicable Collective Bargaining Agreement.Primary ResponsibilitiesServe as the primary point of contact for the Counseling Office, including answering phones and managing daily office traffic.Maintain calendars for counselors and the social worker, including scheduling appointments and coordinating student meetings.Coordinate annual counselor meetings for all students.Manage the Counseling Office conference room calendar.Maintain and update the Counseling Office webpage.Distribute Counseling Office communications via ParentSquare.Collaborate with counselors to prepare articles for the District newsletter.Post office announcements as needed.Prepare, process, log, and maintain student Working Papers.Order office supplies, permanent record cards, diplomas, seals, covers, and certificates (including CDOS credentials).Coordinate senior name verification and diploma orders.Assemble diplomas for graduation and manage external diploma requests.Maintain and update opt-out of paperless records.Maintain student records, including current and archived files, permanent record cards, and counselor files.Process student record requests and verifications for graduating, exiting, and former students.Handle transcript requests for graduated students.Work extensively within the Student Management System (SchoolTool).Complete year-end reporting tasks, including printing and filing report cards, reports, labels, and permanent records.Generate mailing labels for office correspondence.Manage home district records and enrollments for summer school and CTE programs.Assist with year-end system roll-over processes, including data entry and schedule updates.Enter annual course selections for all students.Process student grade changes as submitted by teachers.
