**REPOSTING March 25, 2024**Secretary to School District AdministratorAssigned to the Office of the Assistant Superintendent for BusinessConfidential/Managerial PositionFull-Time, 12 month assignmentImmediate VacancyThere is an immediate vacancy for a full-time secretarial support person assigned to the Office of the Assistant Superintendent for Business. This position follows Civil Service guidelines in the job title Secretary to School District Administrator.Responsibilities:Provide executive secretarial functions to the Assistant Superintendent for Business; – including but not limited to:Relieving administrator of duties that do not require their personal attention;Maintaining calendarCoordinating meetingsScreening incoming telephone calls and walk-insOpen, screen and route incoming mail to appropriate partyAssist staff with needs pertaining to the Business OfficeUtilize automated systems (i.e. Microsoft Office Suite, Google Suite, Frontline, and nVision) to produce correspondence, forms, reports, and other departmental data;Take notes of meetings and hearings and prepares minutes as needed;Independently prepare replies to routine correspondence;Assist in the preparation and maintenance of budgets;Maintain files of both general and confidential information pertinent to the activities of the office;Supervise the maintenance of office records;Organize and coordinate the special activities related to the office of the Assistant Superintendent for Business, May supervise or direct the work of office clerical personnel;Other assignments and responsibilities associated with and not limited to the Office of the Assistant Superintendent for Business.Requirements:Outstanding interpersonal skills: This position interfaces directly with school personnel, parents and the general public. It requires the ability to deal effectively with people – in person and on the telephone – and to work well under pressure. Candidates must be responsible and dependable, self-starters, with good judgment, possess a strong work ethic and be able to maintain confidentiality.Excellent organizational skills: The position requires someone who can handle multiple simultaneous tasks expediently and with accuracy. Attention to details is eminent.Superior technical skills: Competence, combining speed and accuracy, in the use of office technology, particularly, Google Suite, Microsoft Word, Excel, PowerPoint and nVision. Thorough knowledge of the responsibilities of an executive secretary; general business terminology, procedures and equipment;Thorough knowledge of business English, spelling and arithmetic;Good knowledge of the capabilities of automated systems equipment to produce various formats/documents such as correspondence, reports, tables, charts and file storage/retrieval;Ability to effectively use computer applications such as spreadsheets, word processing, calendar, e-mail and database software;Ability to manipulate alphanumeric keyboard at a rate of not less than 35 words per minute;Ability to read, write, speak, understand and communicate in English sufficiently to perform the essential functions of the position;Ability to compose and edit routine letters and memoranda; ability to understand and carry out complex oral and written directions;Ability to handle administrative details independently; ability to deal with others effectively;Ability to compile data and prepare reports;Accuracy; resourcefulness; initiative; neat personal appearance;Physical condition commensurate with the duties of the position.Graduation from high school or possession of a high school equivalency diploma and either: five (5) years of secretarial experience in support of higher level administrator(s), or a department or unit head, three (3) years of which must have involved the use of computer applications to maintain records and produce correspondence; or: graduation from a post high school secretarial or business school with a degree or certificate* in secretarial sciences, office technology or closely related field and three (3) years of the specialized experience using computer applications as described herein. SUBSTITUTION: Satisfactory completion of 30 college credits** may be substituted on a year for year basis for up to four (4) years of the secretarial experience described above. Candidates must have at least one (1) year of the specialized experience using computer applications described herein. NYSED Fingerprint Clearance*In order to be considered, candidates must either:Hold the civil service title Secretary to School District Administrator orBe reachable on the corresponding list of eligibles for appointment by the Westchester County Department of Human Resources orMeet the requirements for a provisional appointment by the Westchester County Department of Human Resources. A provisional appointee will be subject to future examination.Employment Terms12 month position probationary or provisional appointmentHours: 8:00 AM - 4:00 PM. The workweek is 35 hours, 7 hours per day.Salary and Benefits: Depending upon experience, salary range $54,000-$78,000.
