School District Clerk (Stipended Position)This position reports to the:Board of Education (for statutory and governance responsibilities), and Superintendent of Schools for administrative coordinationThe School District Clerk is a key administrative officer responsible for ensuring the efficient, compliant, and transparent operation of Board of Education governance. The Clerk serves as the official recorder and custodian of Board proceedings, elections, and District records, while also supporting the Superintendent and administrative leadership in carrying out the business of the District. This position requires exceptional organization, judgment, and discretion; the ability to work independently; and a commitment to upholding the highest standards of public service and confidentiality.Primary ResponsibilitiesGovernance & Board of Education SupportServe as Clerk to the Board of Education; attend and record minutes for all meetings (Board of Education meetings and Board committee meetings).Prepare and distribute agendas, notices, and public postings in compliance with Open Meetings Law.Maintain official minutes, resolutions, and policy records.Manage correspondence between the Board and community members.Coordinate Board committee schedules and maintain calendars for Board-related events, trainings, and retreats.Manage BoardDocs/Diligent – uploading agendas, policies, exhibits, and meeting minutes.Track Board member training compliance (e.g., Fiscal Oversight, Governance, Safety, and internal compliance training) and maintain certificates on file. Prepare and maintain Board policy online manual and update postings when policies are revised. Maintain the District Seal and attest to all Board-executed documents. Coordinate Board member travel and professional development schedule. Ensure compliance with all NYSED and legal filing requirements.Maintain a register of official oaths of office for Board members, and other appointed officials. Serve as the first point of contact for inquiries directed to the Board of Education; route correspondence appropriately. Coordinate public participation at Board meetings. Assist with district recognition events. Submit required documents to NYSED to schedule impartial hearings. Post all required legal notices. Elections Management Administer annual budget votes and Board elections, including legal notices, absentee ballots, and voting procedures.Coordinate with the Westchester County Board of Elections and legal counsel on election compliance.Serve as liaison to the Westchester County Board of Elections for ballots, voting machines, inspectors, and results certification. Prepare all required legal notices (budget hearing, annual meeting, candidate petition deadlines, etc.) and ensure newspaper publication requirements are met. Coordinate election-day logistics (inspectors, signage, security, accessibility, emergency procedures).Preferred QualificationsPrior experience as a District Clerk, Board Secretary, or senior administrator in a school or municipal setting.Knowledge of Open Meetings Law.Excellent communication, writing, and recordkeeping skills.Proficiency with Microsoft Office, Google Workspace, and BoardDocs (or equivalent).Public Notary Certification Terms of position:12-month, stipend positionRegular attendance at evening meetings requiredStipend Range: $15,000- $22,000Internal candidates please apply on OLAS by March 13, 2026.
