This position plays a key role in managing student and counselor communications, scheduling appointments, supporting college-related activities, and assisting with transcript and employment verification requests. The incumbent ensures smooth daily operations within the counseling office and acts as a liaison between students, staff, and external partners.Essential Duties and Responsibilities:Provide administrative support to three (3) counselors, including appointment scheduling, email communication, and calendar coordination with students.Greet students, parents, and visitors; direct individuals to appropriate counseling staff or resources.Coordinate logistics for college visits, including scheduling, communicating with college representatives, and promoting visits to students.Process transcript requests, ensuring compliance with privacy and school policy.Handle employment verification requests professionally and promptly.Support the Counseling Department on projects as assigned, including data entry, outreach campaigns, and organizational tasks.Maintain accurate student records, files, and confidential information in accordance with FERPA and district policies.Use office software and student information systems (e.g., PowerSchool, Naviance, Infinite Campus) to manage records and schedules.Monitor email inboxes and phone lines for inquiries and route messages appropriately.Order supplies and manage inventory for the counseling office as needed.Minimum Qualifications:Strong interpersonal skills with a professional and welcoming demeanor.Proficient in Microsoft Office, Google, and scheduling systems.Excellent organizational, time management, and communication skills.Ability to handle sensitive information with confidentiality and discretion.Ability to work independently and collaboratively in a dynamic, student-centered environment.Desirable Qualifications:Experience working in a school counseling or higher education environment.Familiarity with FERPA regulations.
