Job Description: Duties and responsibilities reflect a restructuring of an existing vacancy. Berlin CSD is a small rural district where work volume necessitates the assignment of varied responsibilities that fulfill the broad needs associated with district office functions. This title falls under a NY HELPS Civil Service designation and competitive examination is not required. Salary commensurate with experience and qualifications. Reports to the School Business Official.Accounts Payable & Procurement:Prepares and processes invoices, purchase orders, and payment vouchersVerifies accuracy and compliance with applicable laws and policiesMaintains accurate financial records for auditing and reportingReviews historical spending trends for ordering and budgeting needsConducts research on procurement methods and compliance to assist in policy and process developmentContract & Vendor Management:Maintains and monitors vendor files and contract termsCommunicates with vendors to resolve service issues, pricing discrepancies, and invoicing concernsAssists with the annual or semi-annual preparation and publication of bid specifications and legal noticesMaintains central calendars for contract renewals, bidding cycles, meetings, and compliance obligationsTax Collection:Performs or assists tax collection activities and responds to taxpayer inquiriesRecords & Data Management:Establishes and maintains confidential filing systems for business, HR, and legal documentsPerforms accurate data entry in systems related to finance, HR, and reporting and compliance trackingManages records retention schedules and coordinates secure storage or destruction of recordsCoordinates and compiles information collection for FOIL/FERPA requests under the direction of the Records Management OfficerHuman Resources Support:Assists with the preparation and maintenance of personnel files including onboarding, off-boarding, general HR, employment changes, and written policy and process manualsSupports the organization and preparation of materials for grievances, investigations, collective bargaining, and other legal or labor matters as assignedMaintains strict confidentiality in all HR and legal matters, including but not limited to potential and pending employee disciplinary actions and collective bargaining.
