ALCS believes this opportunity should be freely available to any girl who chooses it.POSITION DESCRIPTIONThe Administrative Assistant to the Principal and Attendance Officer plays a dual role in ensuring efficient school operations and maintaining accurate student attendance records. This position is responsible for assisting the school principal in the planning, organization, coordination, administration, and management of school programs—including curriculum, instruction, student conduct, and student attendance.As the first point of contact for families, students, and guests seeking to speak with the Principal, the Administrative Assistant helps maintain a welcoming, professional environment in the main office or administrative suite. This position also serves as the Attendance Officer, responsible for monitoring student attendance, following up on absences and tardiness, and working collaboratively with families and school staff to support student engagement and accountability.The Administrative Assistant/Attendance Officer provides essential administrative support, maintains clear communication, and ensures compliance with school and state attendance policies. This role is critical to fostering a culture of responsibility, support, and excellence across the school community.Essential Background and ExperienceProficiency with Google Workspace, Microsoft Office, and student information systems (e.g., PowerSchool or equivalent)Experience working with diverse populationsUnderstanding of organizational operations, policies, and proceduresStrong written and verbal communication skillsFamiliarity with modern office equipment and customer service best practicesAbility to maintain confidentialityKnowledge of attendance reporting regulations and requirements preferredBasic first aid techniquesEssential Duties and ResponsibilitiesAdministrative SupportCoordinate daily office functions and serve as the liaison between the Principal and school communityProvide administrative support including filing, typing, scheduling, managing calendars, and maintaining office systemsMaintain confidentiality when handling sensitive student and staff informationPrepare reports, correspondence, and meeting minutesOrder and track supplies; ensure equipment and materials are organized and stockedSupport event planning and logistics for field trips, meetings, and school programsManage incoming communication, greet visitors, and screen calls and emailsSupervise and direct assigned clerical staff, as neededAttendance Officer ResponsibilitiesMonitor and maintain accurate student attendance records dailyContact families regarding absences, tardiness, and early dismissalsCollaborate with teachers and support staff to verify attendance dataNotify administration of chronic absenteeism and assist in planning interventionsGenerate attendance reports for state compliance, school leadership, and external agenciesServe as the school’s point person for attendance-related inquiriesSupport family engagement efforts by communicating expectations and offering resources for improving attendanceCoordinate with the Dean of Students, counselors, and outside agencies on attendance-related interventionsEducationHigh school diploma required; Associate’s or Bachelor's degree preferredAdditional training in secretarial skills, office management, or data systems a plusMinimum of three years of increasingly responsible administrative experiencePhysical DemandsSitting, standing, and walking for extended periodsDexterity to operate standard office equipmentHearing and speaking for communication via phone and in-personLifting/moving items up to 25 poundsBending, kneeling, or reaching as needed for filing and organizingWorking EnvironmentIndoor office/school environment with frequent interruptionsModerate noise level typical of school officesReasonable accommodations can be made to enable individuals with disabilities to perform the essential functions
